Teachers will receive an email that notifies them each time a principal schedules an observation with the teacher. The principal who scheduled the announced observation is included on the CC: of the email and will receive a copy of the same message.
The email will include an Outlook attachment that can add the event to their Outlook calendar. Teachers and principals may follow the steps below to add the observation to their Outlook calendar.
Open the email in Outlook and double-click on the ICS file attachment that is located at the top of the message, shown below:
When you double-click on the ICS file attachment, a prompt will display as shown below. Click 'Yes' to begin the process of adding this event to your Outlook calendar:
After you click Yes on the prompt, a new window will open in Outlook, shown below. Click 'Save and Close' at the top of the window to save this appointment to your Outlook calendar.
NOTE: Please do NOT click 'Copy to My Calendar', as this will add a second copy of the appointment to your Outlook calendar. Use the 'Save and Close' button to add only one copy to your Outlook calendar.
This window will hold the appointment details. It will be pre-populated with the subject, the observation date and time, and the description will include the teacher's name and the type of observation (announced or unannounced).
After you click 'Save and Close', the observation will be saved to your Outlook calendar. Navigate to your Outlook calendar to view the new appointment, as shown below:
